Door Open and Check-in

Door open: The conference venue opens at 8:30 AM on Day 1 (Wed, 22 Apr), then at 8:30 AM on the following days (Thu-Fri, 23-24 Apr).

Pre-checkin: Pre-checkin is available at the venue from 5:00 PM to 7:00 PM on Day 0 (Tue, 21 Apr). Attendees can receive their lanyard early to skip the line on Day 1.

The checkin and reception desk is located in the Main Arena.

Transport

We operate shuttle buses between the city and the venue. Capacity is limited, and seating is first-come, first-served. The bus schedule is approximate and subject to change depending on traffic conditions.

Bus to the venue

On Day 1 (Wed, 22 Apr), you may be asked to present your RubyKaigi ticket page (with QR code) when boarding. On the following days, please wear your conference lanyard to board the shuttle bus.

Bus to the city

On Day 1 (Wed, 22 Apr), the shuttle bus is reserved for Official Party attendees and goes directly to the party venue.

The city-bound shuttle on Days 2 and 3 has two destinations: JR Hakodate Station and the Goryokaku area. Choose your destination when boarding.

Chat (Discord)

RubyKaigi has an official Discord server to enhance communication among attendees.

Each session track has a dedicated chat channel. The corresponding session hall has a subscreen showing the live caption of the ongoing talk and the chat log from Discord.

Lunch Options

We have a range of lunch options available throughout the conference. Attendees can use seating areas located in the main arena, including upstairs, to enjoy their meals.

  • Food trucks: Available outside, between the hall and arena building. Lanyards are required to obtain food.
  • Bento boxes: Available in the main arena.
  • Local meals and drinks: Available in the main arena. Various takeout foods from local franchises and restaurants, sponsored by ANDPAD.

All three categories are offered on every conference day, though the specific menus and food trucks rotate daily.

Wi-Fi

Wi-Fi is available throughout the conference venue on a best-effort basis. Please turn off personal hotspots to keep wireless interference to a minimum in the venue.

Experiments

RubyKaigi 2026 Wi-Fi runs the following experiments; Enjoy!

We continue to enable these past experiments as well, but promoted to stable features:

  • DNS over HTTPS/TLS and autodiscovery using RFC 9462
  • DNS over QUIC

English Interpretation

RubyKaigi provides Japanese-to-English live interpretation for all Japanese-spoken sessions.

Receivers are distributed to attendees at the large hall #rubykaigiA foyer on the Hakodate Citizen Hall ground floor. Attendees can bring a receiver to any session hall during the day, but receivers must be returned when leaving the conference venue.

Note: There's no English-to-Japanese live interpretation.

If you're registered for the Official Party, remember to visit the reception desk anytime after the keynote on Day 1 for pre-checkin.

Taking Photos

Know our lanyards and choose one to wear

We know that Rubyists tend to enjoy taking photos during the conference, and so do we. But we also know there are people who don't want to be photographed. Therefore, we implement an indicator for those who don't want to be photographed during the conference.

In RubyKaigi 2026, the indicator is implemented using lanyards attached to the conference badge as shown in the diagram above.

  • Red lanyards: For those who have no objection to being photographed
  • Blue lanyards: For those who do not want to be photographed

We ask all attendees to respect this do-not-photograph-me indicator: Avoid taking photos that include people wearing the blue lanyard.

Deliberately photographing, or persistently asking to photograph, someone against their wishes (as opposed to accidentally including them in a photo) may be considered a violation of our Code of Conduct.

Also, professional photographers engage in the conference on behalf of the RubyKaigi organizing team ("RubyKaigi photographers"). RubyKaigi may publish photos taken by the RubyKaigi photographers during or after the conference. While we do our best to avoid publishing photos that include blue-lanyard attendees, published photos of large groups may accidentally contain them. Please let us know at 2026@rubykaigi.org if this applies to you, or if you notice such a case.
